Adding URLs & Files to Units

In Ideagen Academy, you can easily enrich your units by adding URLs and files, enhancing the learning experience with external resources and supplementary materials. This flexibility allows you to create more engaging and comprehensive course content for your learners.
1. URLs
1.1 Adding Content from URLs
- You can post the content of any URL, such as YouTube videos or Wikipedia links.
- Ensure the URL is secured with SSL; unsecured websites cannot be displayed in your course.
- If you have SSL-enabled Document Retrieval Service in Q-Pulse, you can display Q-Pulse Documents module attachments as course units by entering the document's URL.
1.2 Embedding Webpage Links:

To embed content from a webpage link, click the Embed button.

To embed videos from other websites, paste the video's URL and click Embed to add it to your course.

To embed videos from Google Drive, modify the Google Drive URL by replacing "/edit" with "/preview" at the end. For example, "https://drive.google.com/file/d/123456" becomes "https://drive.google.com/file/d/123456/preview."
- To extract all page content and inject it into your unit, click the drop-down arrow next to the Embed button and select Parse.
2. Uploading Files
2.1 General File Upload
This option allows you to upload any file containing e-Learning content (up to 100MB).
- Click the Upload New button to search for the file that contains your content.
- Alternatively, if the file is already in your lesson library, you can select it from the provided drop-down list.
- When uploading files with SCORM content, you have options:
- Choose to embed the content as an iFrame.
- Choose to embed the content as a pop-up.
- Set the height and width dimensions for the embedded content.
- If you select the pop-up option, the unit's content will be replaced with a Click to start button. This button is used to initiate the unit and open it in a pop-up window.
- Once you've selected the file, its content will be injected into your unit. Depending on the file type, the content may either be embedded directly in the unit or presented as a link for learners to open or download.
Notes: When uploading SCORM/TinCan content, the 'How to complete it' unit setting will automatically be set to None since SCORM content may have its own progression rules.
Important: To avoid exceeding the upload limit with video files, you should upload the video to a hosting site (e.g. YouTube or Vimeo) and add the content as a URL.
3. Drag & Drop
You can quickly add a new unit using the drag and drop method with a file's content. To do this:

- Access the course dashboard screen.
- Drag the file(s) with the desired content to the course content section on the screen.
- A progress bar will appear at the top of the browser window to indicate the content's upload to the server.
3.1 Single Lesson Courses:
- If the course contains only one lesson, a new unit will be automatically created.
- The unit name will default to the file name, but you can change it if needed.
3.2 Multi-Lesson Courses:
- For courses with more than one lesson, a notification will appear.
- You can choose which lesson to import the file into or create a new lesson for the file.
- Select a lesson or type your new lesson name in the Select lesson or type new field and click Import.

4. Go to Files
- To access the files dashboard, go to the course dashboard, click Add Content and select Go to Files.
- The files dashboard displays a list of all the files available to the lesson. You can either use the Add File button to upload more files or drag and drop files directly to the page.
- The Operations column allows additional actions:
- Copy file to clipboard
- Import as content (to add the file as a unit)
- Preview file
- Download file
- Delete file
The file list can be downloaded as an Excel-compatible CSV file by clicking the download button () at the bottom of the page.
You can make files available to the learners enrolled on the course, giving them the ability to download or print the files. To share files with your learners:
- Click the switch in the Shared column.
- When enabled, the button turns green, meaning the learners will have the option to view the file(s) from the course homepage.
